Office and Administrative Coordinator

POSITION DESCRIPTION

Position Purpose

As an integral member of Alford Group’s team, the Office and Administrative Coordinator serves as primary support for the CEO, executive leadership and nationwide consulting teams. This position includes external-facing communication, requiring the ability to interact professionally and congenially with all staff, clients, prospective clients and visitors; to relay information expediently; and to juggle/prioritize multiple requests.

Key Responsibilities

Internal Communications

  • Facilitate professional and expedient communication among and between Alford Group’s executive leadership, consulting teams, shared services colleagues and clients
  • Assist executive leadership with all-staff communication: ensure consistency, manage templates, support coordination of timing and tone/voice.
  • Provide direct administrative support to executive leadership

Administrative Support

  • Support consultancy with scheduling internal and external client or partner meetings, including client service specific stakeholder interviews and/or meetings
  • Program surveys for the consultancy and clients; support the analysis of results
  • Prepare and proofread documents and materials for meetings and marketing efforts, as needed
  • Contribute to various projects, research, data compilation and writing assignments
  • Draft, proofread, edit and format consultancy and client materials, proposals and correspondence
  • Assist business development and marketing colleagues as needed; prepare for events, conferences, sales meetings and sponsorship benefits
  • Track sales activity, maintain client lists and other content in Customer Relationship Management systems
  • Providing GuideStar research support, as needed
  • Assist with travel arrangements, make appointments and/or venue reservations as requested by executive leadership

Office Management

  • Manage office mail and assist with bank deposits, if necessary
  • Maintain info@alford email account
  • Provide overall administrative support and conduct occasional office duties including ordering supplies, working with vendors, requests for maintenance or repairs
  • Lead efforts regarding shipping, printing, tracking and storing inventory/supplies, placing business-related orders

Qualifications and Expectations

  • Bachelor’s degree or equivalent experience
  • At least 2-4 years of relevant experience, preferably supporting executive level teams
  • Highly desirable: previous nonprofit work experience – particularly in support of executive teams
  • Demonstrated excellent verbal and written communication skills and proven proofreading abilities
  • Ability to manage relationships including client staff, volunteers and donors
  • Keen eye for detail, highly organized and ability to prioritize work requests appropriately
  • Ability to work proactively and independently
  • Ability to work collaboratively on a team with minimal supervision at times
  • High technical proficiency in MS Office Suite including Word, Excel and PowerPoint required. Experience with web conference platforms, Dropbox, Google Docs, Survey Monkey and Customer Relationship Management systems. Graphic design experience in platforms, such as InDesign or PhotoShop is helpful.

Physical Demands

The position requires sitting and working on a computer for long periods of time as well as occasional lifting and carrying of presentation materials and supplies. Consultants must be able to interact seamlessly with clients through visual, aural, physical and written communications.

Work Environment

Inside average office environment. Average office noise levels. No personal protective equipment required. Currently, working in a virtual environment due to the COVID-19 pandemic.

Vice President, Client Service and Innovation

Compensation

This is a salaried position with a range of $50,000 to $55,000 based on experience and a full benefits package, including a 401K plan and health insurance.
